Modern Phone Systems for a Flexible Workplace
Today’s workplace looks a lot different than it did even just a few years ago. Our workforce today thrives on flexibility and the ability to collaborate from anywhere. This shift demands a communication infrastructure that empowers this adaptable, portable environment. At Speros, our Telephony Department is at the forefront of this revolution, providing cutting-edge business phone systems that allow for unprecedented levels of productivity and collaboration.
While the way we work has evolved, phones aren’t going anywhere. Despite the rise of video conferencing and chat applications, voice communication remains a critical pillar of business communication. Think about it: how often do you need to clarify details, build rapport, or navigate a complex issue with a client or colleague? A clear, concise, and friendly phone call can achieve this more quickly and effectively than a chain of emails or texts.
The Next Generation of Desk Phones
Physical desk phones are always evolving to allow for more flexibility! Softphones– or software-based phones– look and act like traditional phones but with plenty more features. They allow you to make calls using the internet rather than a traditional phone line.
This means that you can make and receive calls using your desk phone– but that you’re also able to do the same from your mobile phone when you’re out of the office or just away from your desk. Programs like Webex and Microsoft Teams let you make a call from your office number even from your cell phone; your outbound caller ID is displayed as your office number from your cell phone when making a call using the app.
Consider the following– how often do you answer your phone when you’re receiving a call from an unfamiliar number? The answer is probably “never”. But with softphones, calls display as your office number along with the name of your company– which makes people much more likely to answer.
The new freedom that comes along with softphones means a seamless transition between your office, your home, or anywhere else with an internet or mobile data connection. It means that you’re available whenever and wherever clients need you. Plus, it integrates voice calls, video conferencing, instant messaging, and more into a single platform to enable open communication and maximum efficiency.
During off hours when you’re enjoying time with your family or relaxing away from the office, you can also easily determine whether a call is a business or personal call, since a business call will appear through your Webex or Microsoft Teams app– and if you decide not to answer, their voicemail will be sent to you your office voicemail (not your personal cell voicemail!), plus a transcription will be sent to your email, for you to check out when you have the time. You can also adjust notification settings on your phone to make sure that no business calls come through after 5:00 PM, without causing you to miss personal calls!
The Future is in the Cloud: Cloud/Hosted Phone Systems
Cloud-based phone systems, also known as hosted phone systems, offer a powerful and scalable solution. They reside on remote servers scattered throughout the United States, which means that remote teams can use the system without needing to be on-site.
With cloud / hosted phone systems, you can easily add or remove phones and features as your business grows, which means that your communication infrastructure can change along with your needs. Instead of having to buy what you think your company will need over the next several years, cloud-based phone systems are easily scalable and expandable and can grow along with your business.
Utilizing cloud / hosted phone systems also means that you can eliminate some of the equipment and maintenance costs associated with on-premise systems. For instance, with on-premise systems, you’re paying for that dial tone. With hosted phone systems, you’ll save money on your monthly phone and internet bills, while everyone in your organization can enjoy their own individual phone number plus the ability to call in & out at once. No busy signals, no long-distance charges, no maintenance contracts.
And cloud providers handle system updates and security patches, which means that you can always benefit from the latest features as they roll out.
Speros allows you to choose from the following:
- Hosted phone systems
- Hosted phone systems with Webex
- Hosted phone systems with Microsoft Teams
- Phones with just Microsoft Teams.
This means that no matter which option will work best for you, you can make voice calls, video calls, and message with your team from anywhere.
Microsoft Teams: A Unified Communication Powerhouse
Microsoft Teams stands out as a powerful contender in the cloud-based telephony market. It seamlessly integrates voice calling, video conferencing, chat, file sharing, and collaboration tools into a single intuitive platform.
This allows for efficient and effective communication within your staff, no matter where they’re located. Instant messaging, file sharing, and screen sharing can keep things moving throughout the workday.
Teams can also eliminate the need for on-premise phone systems and eliminate the issue of long-distance call charges with Teams’ capabilities. And because Microsoft Teams is part of the Microsoft 365 suite, it integrates with all of the other applications you use on a daily basis– Outlook, Excel, etc.– while allowing you to keep it simple with consolidation of licensing costs.
The Foundation is Key: Business Internet Requirements
Hosted phones and cloud-based phone systems use the power of the internet for necessary business communications. This means that your business internet is the key for ensuring smooth operation of cloud phone systems and other communication tools.
You’ll need to opt for internet plans that offer sufficient bandwidth to handle your call volume and other online activities, and a provider with a proven track record of reliability to avoid dropped calls or service interruptions for maximum uptime. In fact, we highly recommend obtaining more than one internet connection to avoid any potential downtime.
Think about it– how much revenue is lost when your phones or internet go down? Taking early precautions to prevent those losses can keep your business running smoothly no matter what happens.
Keeping strong security measures in place is also a must to protect sensitive business communications across all platforms and systems.
